Merchant Services 101
Choosing the Right Payment Processor

The right payment processor charges a rate you can verify, funds you the next business day, answers the phone at any hour and lets you leave whenever you want. Most business owners never actually choose theirs. It came bundled with the POS, the bank or the first salesperson who walked in. Yet your processor touches every sale you make, and the right one can lower your costs without changing how you sell.
Key takeaways
Compare the markup, not the advertised rate. With Cost-Plus pricing, you see the card brands’ actual cost and the processor’s fixed markup on every statement.
Read the contract before the rate. Early termination fees, auto-renewals and equipment leases often cost more than a slightly higher rate ever would.
Insist on your own merchant ID, next-day funding and 24/7 US-based support. Those decide whether your money shows up on time and whether anyone answers when something breaks.
What your payment processor actually does
Your terminal or POS takes the payment. Your processor moves the money: it gets each sale approved, routes it through Visa, Mastercard, Discover or AMEX, and deposits the funds in your bank account. When processing comes bundled with your POS, it’s easy to forget you have a processor at all. Many POS systems let you bring your own, though Square and Toast require theirs.
When it’s time to shop around
You’re opening a new business. Your first processor shapes your costs and cash flow from day one.
Your processor is causing problems. Rate hikes, surprise fees, frozen funds and slow support are not a normal cost of doing business.
You’re changing POS systems. It’s the right moment to review who processes your cards.
Your business is changing. Online sales, invoicing, recurring billing, mobile service or a second location can outgrow your setup.
8 things to compare before you sign
Pricing you can verify. Flat-rate pricing charges every card the same high percentage, even low-cost debit cards. Tiered pricing advertises a low “qualified” rate, then charges more on cards that don’t qualify, often called downgrades. Cost-Plus pricing passes through the actual interchange rate plus one fixed markup, so you can check every line. Get every rate and fee in writing.
Contract terms. Look for month-to-month terms with no early termination fee and no automatic renewal. Be wary of “free” equipment that’s really a lease. A countertop terminal and PIN pad lease commonly runs $1,500 to $3,000 over 36 to 60 months, and leases are usually non-cancelable.
Fees that don’t belong. PCI compliance, statement, batch, setup and annual fees add up fast. Ask whether the processor can raise your rates or add fees after you sign.
Funding speed. Ask exactly when your money lands after you close your batch. Next-day funding should be standard, not a paid upgrade.
Real support. You want 24/7 US-based support from a live person, nights, weekends and holidays included, plus help with chargebacks. Call the support line before you sign and see who answers.
Your own merchant ID. Payment facilitators like Square, Stripe and PayPal put many sellers under one shared account and often review risk after the sale, which is why sudden holds and frozen funds are such common complaints. A direct merchant account approves you up front and gives you your own merchant ID.
Equipment and integrations. Confirm the processor works with your POS, online store, gateway and accounting software, and ask whether your current terminal can be reprogrammed.
Tools that cut your cost. Dual pricing, cash discounting and surcharging can offset most or all of your processing cost when they’re set up compliantly, with the right signage and receipts. If you sell to businesses or government agencies, ask about Level 2/3 processing, which lowers rates on commercial cards.
Know your real rate first
Before you compare quotes, find out what you pay today: add up every fee on your last statement and divide by your total card sales. For example, $1,251 in fees on $48,120 in sales is a 2.6% effective rate. That’s the number a new quote has to beat, not the rate a salesperson mentions. If your fees come out in one monthly debit, the MTOT DISC line on your bank statement shows the total.

Quick answers
What’s the difference between a processor and a POS? The POS is the system you ring up sales on. The processor moves the money from your customer’s card to your bank account. They’re often sold together, but many POS systems let you choose your own processor.
Can I keep my equipment if I switch? Often, yes. If your terminal isn’t locked to your current provider, it can usually be reprogrammed. If it is locked, we send a free replacement.
How long does switching take? As little as three days from your savings analysis to approval, when you return the application the same day. We test every terminal and gateway connection before you go live.
Why do quoted rates vary so much? Your industry, sales volume, average ticket and how you take cards all affect interchange. The markup is what the processor controls, so compare that.
